How we use your information
12/18 Luxury Car Rental Limited, 67 Old Hope Road, Kingston 5, Jamaica (“we”) collects the information below to rent you a vehicle safely and lawfully. We don't sell it or use it for advertising.
What we collect, and why
- Your name, email, phone numbers and address: to make and manage your rental agreement and contact you about it.
- Date of birth, driver's license number and photos of both sides of your license: to confirm you're allowed to drive and old enough to rent, as the agreement requires.
- Photos of the vehicle at pick-up and return, and the condition notes: so both of us have a fair record of the car's condition, which protects your deposit.
- Your signature, initials, and the time, IP address and device you signed from: as evidence that you agreed to the contract.
- Payments you make: to issue receipts and invoices and settle your deposit.
We use this because it's needed to perform the rental agreement with you and to meet our legal and tax obligations.
How we protect it
Your date of birth, address and license number are encrypted in our database. License and vehicle photos are kept privately and only shown to our staff after they sign in with a password and a code from their phone. Your contract link is private to you and stops working when the rental ends. Every change to a rental is recorded so it can't be altered unnoticed.
How long we keep it
- Rental agreements, inspections, payments, invoices and receipts
- 7 years after the rental ends (tax and legal records)
- Photos of your driver's license
- 12 months after your last rental ends, unless there's an open dispute
- Your profile (name, contact details, license details)
- As long as you rent with us, then with your rental records
- Signing codes and contract links
- Codes expire after 10 minutes; links stop working when the rental ends
Who we share it with
Only those who help us run the business: our software provider (Beroni Innovations), our email service, and our vehicle tracking provider (Hawkeye Security) for the vehicle's location. We share information with the police, insurers or courts only when the law requires it or to handle an accident or claim.
Your rights
Under the Data Protection Act, 2020 you can ask to see the information we hold about you, to correct it, or for it to be deleted where we no longer need to keep it. You can also complain to the Office of the Information Commissioner. To ask us, call 1876-479-9509 or speak to us at the office.
